Lots

A lot is one batch of a lot-tracked item. It carries the dates a recall or an expiry check needs.

Only a warehouse item whose tracking type is Lot can hold lots. Set the tracking type first, in Warehouse Items. For what lot tracking means and when to choose it, read Tracking Types.

You can create a lot in advance, or while you receive a delivery.

  1. Open Stock → Lots in the sidebar and click Add Lot
  2. Enter the Lot Number
  3. Select the Item. The list shows lot-tracked warehouse items only.
  4. Enter the Manufacturing Date, if you have it
  5. Enter the Expiration Date, if you have it
  6. Add Notes, if you need them
  7. Save

The app does not check the lot number for duplicates. Agree one numbering rule with your team, and keep to it. The supplier’s own batch number is usually the best choice, because the paperwork already carries it.

A lot belongs to one warehouse item. The same batch received into two warehouses needs one lot in each.

The list is not tied to the warehouse in the top bar. It shows the lots of every warehouse, so read the Item column before you act on a row.

Search by lot number, or filter by Item. Click a column heading to sort. Sorting by Expires puts the batch that goes out of date first at the top.

Edit changes the number, the dates, and the notes. The change follows every stock record that already names the lot.

A lot cannot be deleted. A lot that was never received holds no stock and does no harm.

Step What happens
Receive a delivery Each lot-tracked line asks which lot the goods belong to. See Receiving Stock.
Reserve a shipment Each lot sits in its own bin row. The bin row you pick decides the batch that leaves. See Picking an Order.
Count a bin The count lists each lot in the bin on its own line.

The lot is decided when the goods arrive, not when the order is placed.

Open Stock → Warehouse Items, then the item. The Stock tab gives one row per bin and lot, with its quantity. One bin can hold several lots at once, and each one is its own row.

A role needs Items at Manage to create or edit a lot. View reads the list. See Access.
