Warehouse Items

A warehouse item is one catalog item enrolled in one warehouse. It holds the settings that warehouse uses, and it is the record stock belongs to. For why the app splits a product into two records, read Items and Warehouse Items.

This page is the procedure. Create the item first, in Items.

Enroll an item

1. Open Stock → Warehouse Items in the sidebar and click Add Warehouse Item
2. Select the Item
3. Select the Warehouse
4. Select the Tracking Type
5. Set the optional numbers
6. Save

Caution

The tracking type is fixed once the warehouse item exists. The edit form shows the field greyed out. To correct it, delete the warehouse item while it holds no stock, then enroll the item again. Read Tracking Types before you choose.

The same item can be enrolled in several warehouses, with a different tracking type in each. It can be enrolled once per warehouse. The app rejects a second enrollment of the same item in the same warehouse, and it names the warehouse that already holds it.

Read the list

The list follows the warehouse picked in the top bar. It opens on All Warehouses, so the first thing you see is every enrollment of every warehouse. Pick a warehouse to narrow it.

Search by name, or filter by Category. Code, Name, Warehouse, Unit, and Created At sort when you click the heading. On Hand and Available do not sort.

Open one warehouse item

Click the row. The page opens on the Stock tab.

On Hand	Everything physically in this warehouse
Allocated	Always 0. The app has no reservation accounting.
Available	The same figure as on hand
Reorder Point	Your threshold. The page marks the item when available is at or below it.

Below them the page repeats the item, the warehouse, the tracking type, the min quantity, and the number of bins that hold the item.

The Stock tab holds one table, and the tracking type decides which one.

A serial or an RFID item has no quantity table. Each unit is its own row. Click any row to open the bin it names.

The History tab lists every movement of this item. Each row gives the date, the type, the quantity, and the balance after. It also names the bins and the document behind the move.

Change or remove

• Edit changes the item, the warehouse, the numbers, and the notes. The tracking type stays fixed.
• Delete removes the enrollment.

The app refuses to delete a warehouse item that has a stock record in any bin. It also refuses one that has serial or RFID units in stock.

Caution

Emptying the bins does not lift the block. When stock leaves a bin, the app sets that bin’s record to 0 and keeps the row. The ledger and the order lines still point at it. The count the delete guard reads counts rows, not quantities. In practice, an item that has ever held stock in this warehouse cannot be deleted again.

Deleting a warehouse item does not delete the catalog item. The item stays, and other warehouses keep their own enrollment.

Who can change it

A role needs Items at Manage to enroll, edit, or delete a warehouse item. View reads the list and the stock. See Access.
